Shipping, Taxes & Pricing

This section is about the money math at the till: what your shoppers pay for delivery, how taxes are applied, and which price list your products are sold from. When these are set correctly, the cart and checkout show the right shipping line, the right total, and the right prices — no surprises for your customer.

The important idea here is a simple two-step pattern you'll see again and again:

Create it in the system (ERPNext), then select it in Lifestyle Settings.

Price lists, the shipping rule, the warehouse, and tax templates are all standard ERPNext records. You build them once in ERPNext, then point your store at them from the Lifestyle Settings page. This guide shows you the selecting part in detail and links out to ERPNext's own documentation for the deeper record-building.


Before you start (prerequisites)

Complete these first:

  • 03 · Your eCommerce Settings Hub (Lifestyle Settings) — you'll do all the wiring on this page, so you should already know how to open it and save it.
  • 08 · Add Your First Products — you need at least one sellable product with a price, so you can see shipping and totals appear in a real cart.
  • You are logged in to the admin (Desk). Open Lifestyle Settings from the Desk search bar (press Ctrl/Cmd + G, type Lifestyle Settings).

Where these records live in ERPNext: Price List, Shipping Rule, Warehouse and the tax templates are all reached the same way — press Ctrl/Cmd + G and type the record name (for example Shipping Rule or Price List). There is no menu icon for them.


How it all fits together

Everything in this section follows the same path: a record is created in ERPNext, selected on the Lifestyle Settings page, and then shows up automatically on the cart and checkout.

Part A · Price lists (what shoppers are charged)

A price list is just a named set of prices. Your store uses two of them:

  • Default Price List — the normal price a shopper sees (for example Standard Selling).
  • Sale Price List — an optional second list for discounted / sale prices. The storefront shows the sale price crossed against the default price when an item is on sale.

Both are standard ERPNext records. You create a price list and put prices on your products in ERPNext — see ERPNext's Price List and Item Price documentation. Here in the store, you just select them.

Step 1 · Select your price lists

  1. Open Lifestyle Settings and stay on the Details tab.
  2. Scroll to the Price List section.
  3. In Default Price List, choose your everyday price list (for example Standard Selling).
  4. In Sale Price List, choose your discount price list (for example Sale Price List). Leave it blank if you don't run sales yet.
  5. Click Save (top right, or Ctrl/Cmd + S).

How you know it worked: open any product on your storefront (/en) — the price shown should match the price you set in your Default Price List, not 0.00.

Why a product might show 0.00: the storefront reads a product's price from these two price lists. If a product has no price in the selected list, it shows 0.00 and can't be added to the cart. The fix is always to add a price for that product in ERPNext, in the same price list you selected here.


Part B · The warehouse (in-stock / out-of-stock)

The Ecommerce Warehouse is the single stock location the storefront checks to decide whether a product (or a size) is in stock or out of stock. If a size shows a line through it and can't be added to the cart, it means that size has zero available stock in this warehouse.

The warehouse itself is a standard ERPNext record — see ERPNext's Warehouse documentation.

Step 2 · Select your Ecommerce Warehouse

  1. On the Details tab of Lifestyle Settings, find Ecommerce Warehouse (just above the Price List section — see the screenshot above).
  2. Choose the warehouse your online stock is kept in (for example Stores - LD).
  3. Click Save.

How you know it worked: a product with stock in that warehouse shows its sizes as selectable on the storefront; a product with no stock shows them greyed out.


Part C · Shipping (the delivery charge)

Your delivery charge comes from a single ERPNext Shipping Rule that you select in Lifestyle Settings. The rule can charge a flat fee and can make delivery free above a spending threshold — a very common online-store setup ("free shipping over ﷼200").

This is how the store decides what to charge:

Step 3 · Create a Shipping Rule (in ERPNext)

You build the rule once in ERPNext. Full details are in ERPNext's Shipping Rule documentation; here is the short version for a "flat fee, free over a threshold" rule.

  1. Press Ctrl/Cmd + G, type Shipping Rule, and open it. On a brand-new store the list is empty — click Create your first Shipping Rule (or Add Shipping Rule).

    • Shipping Rule Label — a name you'll recognise, for example Standard Shipping.

    • Shipping Rule Type — choose Selling.

    • Company, Shipping Account and Cost Center — these are required accounting fields. Your finance person or administrator can confirm the right accounts; a typical choice is a Freight and Forwarding Charges account and your main cost center.

    • Calculate Based On — choose Net Total (so shipping depends on the order value).

    • Under Shipping Rule Conditions, add two rows to get "flat fee, then free":

      This charges ﷼15 on orders up to ﷼200, and free shipping above ﷼200. Change the numbers to suit your store.

  3. Click Save. The status at the top should read Enabled.

Step 4 · Select the Shipping Rule in Lifestyle Settings

  1. Open Lifestyle SettingsDetails tab → Shipping & Returns section.
  2. In Shipping Rule, choose the rule you just created (Standard Shipping) — see the first screenshot in Step 1.
  3. Click Save.

How you know it worked: the rule name stays in the field after saving. You'll confirm it for real in the cart, next.

Leaving Shipping Rule blank: if you don't select a shipping rule, no delivery charge is added — the cart and checkout simply won't show a shipping line. That's a valid choice if you offer free delivery on everything.


Part D · Taxes

Taxes are handled by standard ERPNext tax templates (called Sales Taxes and Charges Template). You create a template with your tax rate (for example VAT) in ERPNext, and set it as the default for selling. It is then applied to the order that a checkout creates. See ERPNext's Sales Taxes and Charges Template documentation.

There is nothing to select for tax on the Lifestyle Settings page — taxes flow automatically from your ERPNext selling setup onto the order.

What the shopper sees: the storefront order summary lists Subtotal, Shipping/Delivery, an optional Round off, and Total. It does not print a separate line for each tax; where taxes apply, they are included in the order that is created. If showing tax to shoppers matters for your market, agree the exact tax presentation with your administrator when the tax template is set up.


Part E · See it working in the cart and checkout

Now put it all together from the shopper's side. Open your storefront (/en), open a product, pick a size, and click Add to cart.

Step 5 · Check the cart totals

Open the cart (the bag icon, or /en/cart). You should see the delivery charge appear as its own line, and the free-shipping bar tell the shopper how much more to spend to unlock free delivery.

How you know it worked: the Shipping line matches the flat fee in your rule (﷼15.00 here), and the Total equals subtotal + shipping. The free-shipping bar counts down from your threshold.

Step 6 · Check the checkout order summary

Continue to checkout. In the Your order summary, shipping appears as the Delivery line and the Total reflects shipping (and rounding, plus any taxes carried on the order).

How you know it worked: the Delivery line equals your shipping fee, and the Total adds up. If you add enough to the cart to cross the free-shipping threshold, the Delivery line drops to ﷼0.00.

Payment methods (Stripe, Cash on delivery, etc.) also appear on this checkout screen. Those are configured separately — see 11 · Set Up Payments.


Quick checklist

Before you move on, confirm on the Details tab of Lifestyle Settings:

  • Default Price List is selected, and your products have prices in it (no 0.00 on the storefront).
  • Ecommerce Warehouse is selected, and in-stock products show selectable sizes.
  • Shipping Rule is selected (or intentionally left blank for free delivery).
  • A test cart shows the expected Shipping and Total lines.
  • Your tax template (if you charge tax) is set up in ERPNext and applies to the order.

With money math sorted, the buyer's flow is complete end-to-end. Next, promote your store in 13 · Discounts, Coupons & Promotions, and when you're ready to open the doors, run the final checks in 17 · Preview & Go Live.


One-time technical setup — ask your administrator

These are not shop-owner steps; they're done once by whoever set up your accounting:

  • A Shipping Rule requires a Shipping Account and Cost Center to save. On a freshly installed store these accounts already exist (for example Freight and Forwarding Charges). If they don't, or you're unsure which to pick, ask your administrator rather than guessing — these feed your bookkeeping.
  • Tax templates (VAT and similar) and the company's default tax setup are accounting configuration. Have your administrator or accountant create the correct Sales Taxes and Charges Template and set it as the selling default so the right tax lands on every order.
